Client Onboarding in Fintech Is a Regulated Project. Stop Running It in Email.

First, a distinction the industry keeps blurring: this is not about KYC. "Onboarding" in financial services usually means identity checks and account opening. That's a solved category. What's unsolved is the other onboarding: when your fintech platform signs a bank, a fund administrator, or a health plan, and the next six months are a regulated, audit-sensitive, politically visible implementation project. Data integrations. Compliance reviews. UAT cycles. Sign-offs from people whose job is to say no.

And at a startling number of fintech companies, that entire motion runs on email threads and a spreadsheet named FINAL_v7.

The real problem: your most scrutinized customers get your least governed process

Enterprise financial clients evaluate vendors on operational maturity. Then the implementation starts, and what they experience is status meetings assembled from memory, milestones tracked in slides, and commitments living in inboxes. The irony writes itself: the customer's compliance team can audit their own side of the integration, and the vendor can't cleanly show its own.

Deloitte's Banking Digital Transformation survey found this exact pattern across financial institutions running large change programs: 93% of respondents said unclear governance frameworks and overlapping, multi-level approval processes had caused real delays in a recent transformation, and 92% said they had struggled specifically because IT development was prioritized while the non-IT change management work around it was neglected. A fintech implementation running on email and a shared spreadsheet is that same failure mode with a bank's compliance team watching. There's a commercial cost too. These implementations gate revenue: platform fees and transaction economics start at go-live. Every month a bank integration drifts is a month of contracted revenue deferred, and with a team of any size running several of these concurrently, nobody can see which one is drifting until the client escalates.

The shift: implementation as governed delivery, in the org you already trust

The fix mirrors what the customer already expects of you. Each client implementation runs from a template (the same phases, integration steps, compliance checkpoints and sign-offs every time) as a project in your Salesforce org, attached to the account. Progress, decisions and responsibilities are in the data, not in inboxes. When the client's steering committee asks for status, it's a live view, not a reconstruction. When an auditor, theirs or yours, asks who approved the production cutover, the answer is a record, not a search through Sent Items.

Security teams tend to like the architecture for a specific reason: nothing leaves Salesforce. The implementation data is governed by the same org security your CRM already passed review on: no new vendor to assess, no sync to question. And the operational result is the one that moves the revenue math: standardized, visible implementations are how teams get to 40% faster onboarding times.

Our view

Fintech platforms sell trust and operational rigor. The implementation is the first place a bank finds out whether that's true. Run it like the regulated project it is.

Cloud Coach's Project Planning & Delivery and Configurable Workflows capabilities are built for exactly this kind of implementation: templated phases, compliance checkpoints and sign-offs live as governed Salesforce records attached to the account, so a steering committee gets a live view instead of a status deck rebuilt from memory.
