The Most Expensive Blind Spot in SaaS Sits Between Closed-Won and Go-Live

Technology team collaborating around a laptop

Your board deck has a slide for pipeline and a slide for churn. Between them sits the machine that turns one into the other: onboarding. Odds are it has no slide, because nobody can pull the numbers without a week of spreadsheet forensics. The CRM knows the exact hour the deal closed. Ask when that customer went live, and the answer lives in a separate tool, a Slack thread, and someone's memory.

The real problem: the handoff is a data cliff

The moment a deal closes, the customer record falls off a cliff. Sales worked in Salesforce; onboarding works somewhere else: a standalone onboarding tool, a generic PM app, a spreadsheet. Now there's a sync (or worse, a re-keying), a second version of the truth, and an executive team that can see bookings in real time but sees time-to-live quarterly, anecdotally, or never.

That cliff is exactly where a well-known McKinsey study (run with the University of Oxford's Saïd Business School) says value gets lost: large, IT-enabled programs run, on average, about 45% over budget and deliver roughly 56% less value than planned, and a broken handoff between systems is a recurring reason why. Gartner's 2023 survey of technology buyers found the same failure showing up from the buyer's side: among buyers who came to regret a purchase, a problematic handoff between sales and implementation was the single most common vendor-related complaint, cited by 43% of them. The costs stack up quietly on your side too. Kickoffs that start late because the handoff sat in a queue. Onboarding managers whose workload is invisible until they're drowning. Expansion conversations that start before the customer is even live, because the AE can't see delivery status from the opportunity. And the strategic one: nobody can answer "is our time-to-value getting better or worse," which is the question your churn number is already answering for you, later and more expensively.

The shift: onboarding in the same data model as the deal

The fix is structural. Closed-won spawns the onboarding project automatically, from a template, in the same Salesforce org: same account record, same data model, no sync. The CSM sees what was sold; the AE sees delivery status; leadership sees a live view of every onboarding in flight, by cohort, by stage, by risk. Time-to-live becomes a metric you manage weekly instead of an estimate you defend quarterly.

Companies that close this gap move fast because nothing new has to be integrated. It's the same platform the sale already lives in. And the operational headline is consistent: up to 40% faster onboarding times once the handoff friction and status archaeology disappear.

Why this is the moment

Every SaaS operating review now runs on net revenue retention, and NRR is decided early, in the first ninety days, not the renewal quarter. The companies that can see and manage those ninety days with pipeline-grade rigor will compound. The ones that can't will keep discovering churn after the fact.

This is the gap Cloud Coach is built to close. Because Time, Expense & Billing and Project Planning & Delivery run as native Salesforce objects, a closed-won opportunity spawns the onboarding project automatically, on the same account record, with no sync layer for the handoff to fall through.

Your CRM already knows everything about how the deal was won. We think it should know how the customer is doing after you win it.
